About these terms
These terms and conditions apply to the website at wboxultimate.com and to your dealings with Winbox Ultimate Property Management ("Winbox Ultimate", "we", "us" or "our"), whose office is at 105 Jalan Alor, Bukit Bintang, 50200 Kuala Lumpur, Malaysia. You can reach us on WhatsApp at 011 2622 25110 or by email at contact@wboxultimate.com.
They apply to everyone who uses this website or contacts us through it, including property owners, tenants and people applying to rent, contractors, and anyone making a general enquiry. By using this website you agree to these terms. If you do not agree, please do not use the website.
This website is not a contract for services
The information on this website describes our services in general terms. It is not an offer that you can accept, and it does not create a contract between you and us.
We only provide property management services under a written management agreement signed by you and by us. That agreement sets out the services, fees, approvals, notice periods and other terms that apply to your property. If anything on this website differs from your signed agreement, the signed agreement applies.
Examples, sample statements, sample reviews and illustrations on this website are there to show how our service works. They do not describe a particular property or promise a particular result, such as a rent, a vacancy period or a repair cost.
Our services
We help owners let and look after residential properties and shoplots in Kuala Lumpur, Cheras, Selangor and Klang. Depending on what you choose in your management agreement, this can include:
- marketing the property, holding viewings and screening applicants;
- preparing the tenancy agreement and arranging its stamping;
- collecting deposits and rent, and following up late payments;
- arranging repairs and maintenance through contractors;
- inspecting the property and recording its condition;
- handling move in, move out, deposit settlement and relisting;
- sending you statements, receipts, photos and reminders.
Some property services in Malaysia may only be carried out by persons registered under the Valuers, Appraisers, Estate Agents and Property Managers Act 1981. Where the law requires it, those services are carried out by, or under the supervision of, a person registered for them.
We do not give legal, tax or financial advice. Where you need it, we will suggest that you speak to a lawyer, tax agent or other adviser.
Fees and costs
Contacting us, asking questions and the first visit to your property are free. Our fees are set out in a written quote and in your management agreement before you sign. We will not charge a fee that is not stated in writing.
Unless your agreement says otherwise, you also pay for costs that relate to your property, such as repair and maintenance work, materials, stamp duty, legal fees, cleaning and utility charges not paid by the tenant. Fees are subject to any tax that applies under Malaysian law at the time.
Where we pay a cost on your behalf, it is shown on your statement with the receipt. Where we hold rent or deposits for you, we handle them as set out in your management agreement.
Your responsibilities as an owner
When you appoint us, you agree to:
- give us accurate and complete information about yourself and the property;
- confirm that you have the legal right to let the property, including any consent needed from co owners, your bank, or the developer, joint management body or management corporation;
- keep the property safe to live in, and keep fire and building insurance in place where it is required or sensible;
- follow the strata by laws, house rules and local authority requirements that apply to the property;
- reply to requests for approval within a reasonable time, so that tenants are not left without essential repairs;
- pay fees and agreed costs on time.
If you do not give an approval we need, we may take reasonable urgent action to prevent damage, injury or a breach of law, and we will tell you as soon as we can.
Tenants, applicants and contractors
When we manage a property, we act for the owner. Tenants' rights and duties come from their tenancy agreement with the owner. If you apply to rent a property, the owner decides whether to accept you, and we may share your application with the owner.
Contractors we engage work under their own terms with us or with the owner. They are responsible for the quality of their own work, and we will help the owner follow up any problem with it.
Our responsibility to you
We will provide our services with reasonable care and skill. Unless your management agreement says otherwise:
- we are not responsible for a tenant's failure to pay rent, for damage caused by a tenant, or for the acts of third parties we do not control, although we will help you take the steps available under the tenancy agreement;
- we are not responsible for delays or failures caused by events outside our reasonable control, such as floods, power cuts, government action or public health measures;
- we are not responsible for indirect or consequential loss, such as loss of profit or opportunity;
- our total liability arising from our services is limited to the fees you paid us in the 12 months before the claim arose.
Nothing in these terms limits any liability that cannot be limited or excluded under Malaysian law, including liability for fraud, or rights you have under the Consumer Protection Act 1999 where it applies.
Ending our relationship
You or we may end a management agreement by giving written notice as set out in that agreement. Either of us may end it immediately if the other seriously breaches it and does not put the breach right within a reasonable time after being asked to.
When the agreement ends, we will hand back keys, access cards, documents, records and any money we hold for you, after deducting fees and costs that are due. Ending the management agreement does not end any tenancy agreement. The tenancy continues between you and your tenant on its own terms.

You may use this website to learn about our services and to contact us. You must not misuse it, for example by trying to gain access to systems you are not allowed to reach, sending harmful code, or using it to send unlawful or misleading messages.

Your personal data
We handle personal data in line with the Personal Data Protection Act 2010. Our privacy policy explains what we collect, why, who we share it with and your rights.
Governing law and disputes
These terms are governed by the laws of Malaysia. If a dispute arises, we will first try to settle it by talking with you. If it cannot be settled that way, it will be decided by the courts of Malaysia, and you and we agree that the courts in Kuala Lumpur may hear it.
Changes to these terms
We may update these terms from time to time, for example when our services or the law change. The date at the top of this page shows when they were last changed. Changes apply from the date they are published here. They do not change a signed management agreement, which can only be changed in writing by you and by us.
